Reports to: Superintendent of Schools

 

Job Goals: Assists the Superintendent in the efficient and effective operation of the Superintendent’s office functions so that s/he may develop and maintain the best possible educational programs and services for children.

 

Qualifications: 

  1. Bachelor’s degree preferred, or equivalent work and educational experience.
  2. At least five years of experience in office administration, public school district experience preferred.
  3. Ability to communicate effectively, both verbally and in writing with administrators, faculty, parents, the general public, School Committee, and town officials.
  4. Ability to interpret, apply, and explain complex information such as regulations, policies, contracts or services.
  5. Ability to exercise good judgment and a high degree of tact and diplomacy in responding to issues and problems brought to the attention of the Superintendent’s office.
  6. Ability to work with highly confidential and legally sensitive employee and organizational material.
  7. Ability to work independently as well as work cooperatively with others.
  8. Ability to prioritize multiple tasks and perform detailed work accurately and efficiently within strict deadlines in an environment with interruptions.

 

Performance Responsibilities:

Office of Superintendent Functions

  1. Serves as confidential/executive assistant to the Superintendent.
  2. Manages routine matters not requiring the Superintendent’s attention.
  3. Maintains and manages the Superintendent’s calendar; receives and screens phone calls, correspondence and visitors. 
  4. Serves as liaison between Superintendent and various stakeholders.
  5. Composes business letters, documents, reports and handles routine correspondence for the Superintendent.
  6. Maintains regular and confidential filing systems.
  7. Provides administrative support of highly confidential nature for the Superintendent and other administrative members of the district



HR Functions

  1. Serves as the districts’ CORI and SAFIS administrator, referring necessary information to the Superintendent of Schools.
  2. Maintains updated teacher seniority lists for all districts, including the tracking of professional status
  3. Monitors certification/licensure of staff members.  
  4. Maintains records of administrator, support staff and nurse contract information, and prepares yearly salary letters for the Superintendent’s signature.  
  5. Maintains records of teacher steps, lanes, longevity, notification of advancement on salary schedule, etc.  Verifies pertinent data and prepares yearly salary letters.
  6. Maintains personnel files.

 

School Committee Functions

  1. Generates School Committee meeting agendas, prepares and electronically distributes School Committee packets to members prior to meetings.
  2. Maintains School Committee files and disseminates information to the public in accordance with public records laws.  

 

Miscellaneous

  1. Performs all other duties as assigned by the Superintendent of Schools.



Terms of Employment: Salary range based on experience relevant to the position.

 

Evaluation: Performance of this job will be evaluated annually by the Superintendent of Schools.
